   Freeze the asset library 48 hours before the engagement end date

   Lock uploads and edits so the final export reflects a known state. Any asset added after the freeze goes into a dated overflow folder the client can merge later.

   Export the full library with metadata intact, not just the raw files

   Pull a CSV or JSON sidecar containing filenames, tags, alt text, usage rights, and expiry dates. A folder of untagged JPEGs costs the client more to re-catalog than the retainer was worth.

   Map every asset to its rights window and flag anything expiring inside 90 days

   Stock licenses, talent releases, and music beds carry hard end dates. Getty Images and similar libraries will not retroactively extend a lapsed license, so the client needs the expiry list before they reuse anything.

   Transfer ownership of the workspace, not just the contents

   Move billing, admin, and API credentials to a client-owned account. Platforms such as Filecamp support white-label branding, which means the client may be paying for a portal that still carries your agency logo after handoff.

   Revoke agency-side seats and rotate shared credentials on the handoff date

   Remove contractor logins, rotate any shared passwords, and confirm the client has at least two admins. Dormant agency seats are the most common source of post-engagement access disputes.

   Deliver a one-page index of where each asset class now lives

   List the destination system, the folder path, and the owner for logos, video masters, templates, and guidelines. Clients who inherit a library without an index rebuild it from scratch within two quarters.

   Schedule a 30-day check-in to confirm the client can retrieve assets unaided

   Ask them to locate three specific assets by search only. If they cannot, the handoff failed regardless of what the export log says.
