Bottom Line
FieldPulse is a field service management platform that handles scheduling, dispatching, work orders, estimates, invoicing, and customer communication for trade service teams. Digital agencies that operate field service divisions, manage contractor networks, or coordinate multi-location service delivery benefit most from adopting it internally. The platform integrates with QuickBooks and includes custom workflow design via Clearpath, fleet tracking, and lead capture via Operator AI. Best suited for agencies serving HVAC, electrical, plumbing, or property management clients who need to coordinate their own field operations or manage client field teams.
Reality Check
FieldPulse is built for field service workflows, not creative agency operations. Adoption requires your team to actively use mobile apps and dispatch systems daily; adoption friction is highest if your agency has no field operations or relies on external contractors who won't adopt the platform. ROI compounds only when 5+ team members use scheduling and dispatching workflows consistently.

Why this category matters
The commercial case before the tooling.
Core concepts
The mental model you need to price and scope the work.
- Permission Boundary CostConcept
Permission Boundary Cost treats external client access as a design constraint that reshapes internal delivery, not a checkbox added at the end of a rollout. Every shared board, guest seat, or client-facing status view forces a decision about what internal commentary, margin data, and draft work stays hidden, and each of those decisions adds configuration and review time to every project. Agencies that map the boundary before migration avoid rebuilding templates twice; those that grant visibility first usually spend the next quarter walking it back. The cost is real but hard to see: a single shared workspace can mean dozens of per-project permission rules that a delivery lead maintains by hand. The frame matters because client-facing visibility is often the stated reason for switching platforms, yet the internal tax it creates rarely appears in the business case. Productive and Teamwork both bundle client access with financial data, which raises the stakes on where that line sits.
- Client Visibility SurfaceConcept
Every project management platform has two surfaces: the internal one your delivery team lives in, and the client-facing one your retainer depends on. The Client Visibility Surface framework says the second surface, not the first, sets your adoption ceiling. A tool with deep internal capacity but clumsy guest permissions forces account managers into screenshot-and-email workarounds, and that manual relay becomes the real coordination cost. Basecamp's deliberately flat client access and Plutio's white-label workspace both trade internal depth for a cleaner external surface, while Wrike and Asana push granular guest roles that need configuration before a client ever logs in. The framework matters because client constraints are a stated evaluation input, not an afterthought. Forrester's Q3 2026 research found workflow integration, not model selection, separates agencies scaling AI profitably, and the same logic applies here: the surface your client touches determines whether shared visibility reduces status meetings or adds a second reporting layer.
- Migration Drag CoefficientConcept
Migration drag coefficient is the ratio of switching cost to the workflow gain a new project management platform actually delivers. Agencies routinely price the subscription and ignore the drag: historical task data that will not import cleanly, client-specific permission maps, automations rebuilt from scratch, and the two to six weeks of reduced delivery throughput while teams relearn. A platform that wins on features but carries high drag can cost more in the first quarter than it saves in the first year. The framework forces the comparison onto total cost of transition, not list price. It also explains why standardization stalls: a single client with unusual access rules or an embedded approval chain can hold an entire agency on a legacy stack. The practical move is to score drag before scoring features, and to pilot on one retainer rather than migrating the whole book at once.
Decision and risk
How to judge the fit, and the ways it goes wrong.
- Project Management Tools Rule: Price the Migration Before You Price the SeatEvaluation Rule
Compare total migration cost, including rework, retraining, and client re-onboarding, against the annual seat delta before committing to a switch.
- Project Management Tools Rule: Score Workflow Fit Before Seat CountEvaluation Rule
Choose the platform whose workflow, permission model, and reporting match how the agency actually delivers, then negotiate seats; never let seat math drive the platform decision.
- Consolidate Delivery Ops Into One Platform vs Keep Client-Mandated Tools Per AccountDecision Framework
IF your agency runs more than roughly 15 concurrent client projects across three or more delivery leads, and no single client contractually dictates the tool your team must use, THEN standardize on one project management platform and absorb the migration cost once. IF client procurement, security review, or an existing enterprise agreement forces a specific system on more than a third of your retainer book, THEN run a federated model where each account keeps its mandated tool and you maintain a thin internal layer for capacity and margin reporting.

What agencies say about FieldPulse
“I rarely leave negative reviews”
I rarely leave negative reviews, but I feel other small business owners deserve to know about my experience. I was contacted repeatedly by FieldPulse's sales team and eventually agreed to evaluate their software. During the sales process, I repeatedly explained that I had recently experienced issues with another software company because of a one-year contract and that I strongly preferred month-to-month agreements. I also made it clear that my company would not be ready to transition until June. Throughout onboarding, the discussions focused on implementation, training, and preparing for our June rollout. When it became clear during implementation that the software was not the right operational fit for my business, I stopped the implementation before ever fully deploying the platform. Despite never fully implementing or operationally using the software, FieldPulse insisted that I remain responsible for nearly an entire year's worth of payments. While they eventually offered a reduced settlement, it was still thousands of dollars for software my company never actually put into service. My biggest disappointment is not the software itself. It's the way the company handled the situation. I felt there was very little willingness to consider the specific circumstances of my account or the documented conversations that occurred during the sales and onboarding process. Every discussion ultimately came back to the written contract. My advice to any small business owner is simple: read every document carefully, including any terms incorporated through hyperlinks, ask direct questions about cancellation and financial obligations before signing, and do not assume the implementation period functions as a trial or evaluation period unless that is expressly stated in writing. This review reflects my personal experience with FieldPulse and my ongoing contract dispute.

Answers about pricing, setup, implementation
FieldPulse manages the full lifecycle of field service work: scheduling and dispatching technicians, creating and tracking work orders, generating estimates and invoices, and communicating with customers via a portal. It integrates with QuickBooks for accounting, includes Operator AI for automated lead capture and booking, and provides fleet tracking and custom workflow design via Clearpath. Agencies use it to coordinate field operations, reduce manual scheduling, and ensure job profitability.
FieldPulse offers three plans with per-seat pricing: Essentials, Professional, and Enterprise. All pricing is custom and requires contacting sales for a quote. The Essentials and Professional plans include customer management, scheduling and dispatching, work order management, estimates and invoices, mobile app, and workflow automation. The Enterprise plan adds multi-location management and an open API.
Operations Managers save the most time by consolidating manual scheduling and dispatch into a single dashboard. Project Managers gain real-time visibility into job status and completion without chasing technicians. Account Executives reduce estimate-to-invoice time and close jobs faster. Founders managing multiple locations or franchise partners use centralized reporting to track profitability and fleet performance across all sites.
An Operations Manager using scheduling and dispatching workflows saves 6-8 hours per week by eliminating manual technician assignment and phone-based coordination. A Project Manager tracking work orders saves 3-4 hours per week on status checks and job updates. An Account Executive using estimates and invoicing saves 2-3 hours per week on billing and job closure. Savings compound as more team members adopt the platform and workflows become standardized.
Yes, FieldPulse integrates with QuickBooks, allowing job costs, labor, and invoices to sync automatically without manual data entry. This eliminates reconciliation errors and ensures your accounting records match field operations in real time.
Initial setup (data import, user creation, workflow configuration) typically takes 2-4 weeks depending on the number of locations and complexity of your job processes. Technician adoption of the mobile app is usually immediate once they receive login credentials. Full team proficiency with dispatching and reporting workflows takes 4-6 weeks of active use.
FieldPulse does not publicly document a data export or retention policy. Before signing a contract, confirm with the sales team whether you can export historical job data, customer records, and invoices in a standard format (CSV, JSON) if you decide to switch platforms.
Yes, the Enterprise plan includes multi-location management and an open API. Founders can centralize reporting across all locations, assign jobs to specific sites, and track fleet and profitability metrics by location from a single dashboard.
