Agency Audit
Miro is a real-time collaborative whiteboard platform that combines diagramming, prototyping, and workflow automation across 250+ integrations including Jira, Slack, and Figma. For agencies, it fits best as a client-facing deliverable tool for design sprints, roadmapping, and customer journey mapping rather than as a standalone resale product. The platform supports multi-tenant workspaces and AI-powered workflows, making it viable for agencies that bill design facilitation or strategic planning services. However, Miro's pricing scales per team member, which complicates white-label retainer models unless you absorb seat costs or charge clients directly.

Bottom Line
Reality Check
Miro charges per active team member on paid plans, not per client account, so reselling to multiple small clients becomes expensive unless you consolidate them into shared workspaces. There is no verified white-label program, meaning client-facing surfaces display the Miro brand and cannot be fully rebranded.

Why this category matters
The commercial case before the tooling.
Core concepts
The mental model you need to price and scope the work.
- Permission Boundary CostConcept
Permission Boundary Cost treats external client access as a design constraint that reshapes internal delivery, not a checkbox added at the end of a rollout. Every shared board, guest seat, or client-facing status view forces a decision about what internal commentary, margin data, and draft work stays hidden, and each of those decisions adds configuration and review time to every project. Agencies that map the boundary before migration avoid rebuilding templates twice; those that grant visibility first usually spend the next quarter walking it back. The cost is real but hard to see: a single shared workspace can mean dozens of per-project permission rules that a delivery lead maintains by hand. The frame matters because client-facing visibility is often the stated reason for switching platforms, yet the internal tax it creates rarely appears in the business case. Productive and Teamwork both bundle client access with financial data, which raises the stakes on where that line sits.
- Client Visibility SurfaceConcept
Every project management platform has two surfaces: the internal one your delivery team lives in, and the client-facing one your retainer depends on. The Client Visibility Surface framework says the second surface, not the first, sets your adoption ceiling. A tool with deep internal capacity but clumsy guest permissions forces account managers into screenshot-and-email workarounds, and that manual relay becomes the real coordination cost. Basecamp's deliberately flat client access and Plutio's white-label workspace both trade internal depth for a cleaner external surface, while Wrike and Asana push granular guest roles that need configuration before a client ever logs in. The framework matters because client constraints are a stated evaluation input, not an afterthought. Forrester's Q3 2026 research found workflow integration, not model selection, separates agencies scaling AI profitably, and the same logic applies here: the surface your client touches determines whether shared visibility reduces status meetings or adds a second reporting layer.
- Migration Drag CoefficientConcept
Migration drag coefficient is the ratio of switching cost to the workflow gain a new project management platform actually delivers. Agencies routinely price the subscription and ignore the drag: historical task data that will not import cleanly, client-specific permission maps, automations rebuilt from scratch, and the two to six weeks of reduced delivery throughput while teams relearn. A platform that wins on features but carries high drag can cost more in the first quarter than it saves in the first year. The framework forces the comparison onto total cost of transition, not list price. It also explains why standardization stalls: a single client with unusual access rules or an embedded approval chain can hold an entire agency on a legacy stack. The practical move is to score drag before scoring features, and to pilot on one retainer rather than migrating the whole book at once.
Decision and risk
How to judge the fit, and the ways it goes wrong.
- Project Management Tools Rule: Price the Migration Before You Price the SeatEvaluation Rule
Compare total migration cost, including rework, retraining, and client re-onboarding, against the annual seat delta before committing to a switch.
- Project Management Tools Rule: Score Workflow Fit Before Seat CountEvaluation Rule
Choose the platform whose workflow, permission model, and reporting match how the agency actually delivers, then negotiate seats; never let seat math drive the platform decision.
- Consolidate Delivery Ops Into One Platform vs Keep Client-Mandated Tools Per AccountDecision Framework
IF your agency runs more than roughly 15 concurrent client projects across three or more delivery leads, and no single client contractually dictates the tool your team must use, THEN standardize on one project management platform and absorb the migration cost once. IF client procurement, security review, or an existing enterprise agreement forces a specific system on more than a third of your retainer book, THEN run a federated model where each account keeps its mandated tool and you maintain a thin internal layer for capacity and margin reporting.

I love the overall experience. It's amazing for studying. The flexibility allows me to write my studies in a form that is presentable and organized.
Read on Trustpilot“Great tool needing better team interaction support”
Great tool. But could support team brainstorming and evaluation far better. There should be a customizable "card" (form with fields) for people to enter ideas on. Postits are a poor alternative because they adjust the size of the font automatically which makes some ideas look more important due to their size. A specially designed brainstorming card could have features to enable others to comment on another's idea, to capture special attributes ( eg a rating like difficulty or importance), an identified reference or a type of entry selection.), to shrink or expand or aoto arrange within a frame. In addition that brainstorming card could also be set up for an evaluation round to converge on a smaller set of the top x ideas. Different evauation options could include dragging/ranking ideas, evauating each idea on multiple criteria (eg. Impact and feasibility), or pairwise comparison. These additions would open Miro to a whole new audience of synchronous or non-synchronous, teamwork based within idea generation, problem solving, and decision making groups. I would be happy to speak with you further about this direction.

Answers about pricing, setup, implementation
Miro is a collaborative whiteboard platform that enables teams to ideate, plan, design, and prototype together in real time. It supports multiple formats including whiteboards, diagrams, flowcharts, kanban boards, timelines, and interactive prototypes. The platform integrates with 250+ tools like Jira, Slack, Figma, Salesforce, and Asana, and includes AI-powered workflows to automate data synchronization and task automation across those integrations.
Miro lists 4 plans; the paid ones run from $8 a member a month, billed annually (Starter) to $20 a member a month, billed annually (Business). The typical margin on reselling Miro is 57% of the fee, after the platform and labor at $75 an hour.
No verified white-label program exists. Client-facing surfaces display the Miro brand and cannot be fully rebranded with your agency logo or custom domain. If white-labeling is a requirement, Miro is not a fit for your resale model.
Yes. Miro has native integrations with both Jira and Slack. The Jira integration allows you to sync roadmaps and diagrams with Jira issues, and the Slack integration lets you post Miro board updates and receive notifications directly in Slack channels. Both are included in the Business plan and above.
Initial workspace setup typically takes 10-15 minutes once you create the parent agency account. Inviting clients and configuring integrations with their existing tools (Jira, Slack, Salesforce) adds another 15-30 minutes depending on the number of integrations. Miro provides templates and blueprints to accelerate onboarding for recurring engagement types like design sprints.
Miro is best suited for digital agencies, product design agencies, marketing agencies, consulting firms, and software development agencies. Within those verticals, it works well for clients running product strategy, UX research, process improvement, or agile transformation initiatives where collaborative visualization and real-time feedback are core to the engagement.
Miro charges per active team member on paid plans, not per client account. The Starter plan costs $8 per member per month, and the Business plan costs $20 per member per month. If you add 10 team members to a shared workspace, you pay for all 10 seats. Guests can be invited at no additional cost, but they cannot access AI features or create boards independently.
Miro includes AI-powered workflows, connectors, and playbooks. The Starter plan provides 25 AI credits per member per month, and the Business plan provides 50 credits per member per month. AI credits are used for automated workflows (e.g., syncing data from Jira to Miro), MCP Server calls (up to 100 per day on the Free plan), and AI playbooks that automate common tasks like generating summaries or extracting action items from boards.
