Toggl
Toggl Track logs time across web, desktop, mobile, and browser extensions, then generates custom financial reports to show project and client profitability. It automates time capture via background activity tracking (which team members can approve before reporting), integrates natively with Jira, Salesforce, Asana, and 100+ other tools, and supports billable rates, fixed-fee projects, and scheduled reporting. Designed for digital agencies, software teams, law firms, and accountants, Toggl starts at $9/user/month for basic time tracking and scales to $18/user/month for profitability analysis and timesheet approvals. The platform achieves high adoption because it reduces manual logging friction and doesn't rely on intrusive screenshot or keystroke monitoring.
Toggl is a resource planning platform, priced at $9 a seat a month on the Track Starter plan, integrating with Jira, Salesforce, Asana and Google Calendar. InnovaAI rates it 6.5 of 10 for agency resale.
Agency Audit
Toggl Track combines time tracking across web, desktop, mobile, and browser extensions with custom financial reporting to help agencies bill accurately and identify profitability gaps by project and client. It integrates with Jira, Salesforce, Asana, and 100+ other tools, and supports automated background tracking so team members don't manually log every task. The platform is built for digital agencies, software teams, and law firms. Reselling makes sense if your clients need billable-rate tracking and project profitability analysis; the $9-18/user/month pricing is low enough to bundle into retainers. However, Toggl doesn't offer verified white-label branding, so clients will see the Toggl name in their interface.

Bottom Line
Toggl Track combines time tracking across web, desktop, mobile, and browser extensions with custom financial reporting to help agencies bill accurately and identify profitability gaps by project and client. It integrates with Jira, Salesforce, Asana, and 100+ other tools, and supports automated background tracking so team members don't manually log every task. Reselling makes sense if your clients need billable-rate tracking and project profitability analysis; the $9-18/user/month pricing is low enough to bundle into retainers. However, Toggl doesn't offer verified white-label branding, so clients will see the Toggl name in their interface.
Reality Check
Toggl displays the Toggl brand in client-facing surfaces, preventing full white-label resale. Agencies must manage client adoption and training separately; the tool's ease-of-use doesn't eliminate the need for onboarding support. Multi-workspace setups (required for true multi-tenant agency operations) are only available on enterprise plans, which require custom pricing negotiation.

Why this category matters
The commercial case before the tooling.
Core concepts
The mental model you need to price and scope the work.
- Utilization Ceiling TrapConcept
The Utilization Ceiling Trap is the point where an agency's billable utilization rate climbs so high that any new client request, sick day, or scope change triggers a cascade of missed deadlines. The framework holds that utilization above roughly 80% looks healthy on a dashboard but converts your delivery team into a single point of failure, because there is no slack to absorb variance. Agencies feel this as burnout, rushed work, and client churn that arrives months after the utilization number peaks. The practical move is to treat 15 to 20% of capacity as a deliberate buffer, not waste, and to track it as a named line item in resource planning. A concrete example: when Anthropic released Claude Haiku 5.5 at $0.10 per million input tokens with a 1M context window, agencies could route high-volume content processing through it and reclaim senior hours, but only if those hours were not already booked at 95% utilization. The buffer is what lets you redeploy capacity when a model or workflow shift makes it available.
- Capacity Truth LagConcept
Capacity Truth Lag is the gap between when a resource plan is set and when it reflects what is actually happening on client work. Agencies that schedule from stale data overbook senior specialists and underbook juniors, then discover the mismatch only when a retainer deliverable slips. The lag compounds: a two-week-old heatmap in Float or Resource Guru hides the fact that a designer has already been pulled onto an unplanned client request. Closing the lag means treating timesheet and booking data as a live input, not a monthly report. Toggl and Everhour feed actual hours back into the plan, while Runn and Tempo surface forecast-versus-actual variance before it becomes a margin problem. The framework matters because a plan that is 80% accurate today beats a perfect plan that is three weeks old.
- Billable Ratio DecayConcept
Billable Ratio Decay is the framework that separates two numbers agencies routinely conflate: utilization (hours booked against available hours) and billable ratio (hours actually invoiced against hours worked). A team can sit at 85% utilization while its billable ratio slides from 72% to 61%, because internal reviews, rework, and non-billable coordination absorb the difference. The decay is invisible on a capacity heatmap and shows up two months later as retainer margin compression. Tracking the gap between booked and invoiced hours per client gives agency operators an early warning that no scheduling view provides. The same discipline applies to AI-assisted delivery: Anthropic's Claude Haiku 5.5, priced at $0.10 per million input tokens with a 1M context window, makes automated document processing cheap enough that agencies must decide whether saved hours get rebilled or quietly absorbed into fixed-fee retainers. Tools such as Toggl, Everhour, and Hubstaff surface the invoiced side of the ratio; Float, Runn, and Resource Guru surface the booked side. Neither alone closes the loop.
Decision and risk
How to judge the fit, and the ways it goes wrong.
- Resource Planning Rule: Schedule Capacity, Not AspirationsEvaluation Rule
Book the work only against named people with verified open hours, and treat every unstaffed commitment as a delivery risk rather than a revenue win.
- Resource Planning Rule: Forecast Demand Before You Schedule SupplyEvaluation Rule
Build a defensible demand forecast from signed and probable work before buying scheduling software, because a capacity tool pointed at an unknown pipeline just renders the guesswork in a nicer interface.
- Resource Planning Decision: Live Capacity Ledger vs Quarterly Staffing PlanDecision Framework
IF client demand shifts inside a 30-day window more often than your staffing plan can absorb, THEN run a live capacity ledger where bookings, time entries, and utilization update weekly and drive assignment calls. IF your delivery mix is stable across two or more quarters and scope changes arrive with 30 days notice, THEN a quarterly staffing plan with monthly reconciliation is cheaper to operate and easier for account leads to defend.

What agencies say about Toggl
“My honest review with more than 2 years of use.”
Fantastic tool for time tracking with a lot of useful functions, but the overall quality seems to go down with time. Functions get changed, without enough testing, so users are forced to test “final” changes, that might disrupt their daily use of the software. I already had issues, but they got resolved after reporting them. These features should have been in beta for way longer, considered it is a software many are dependent on if they need it as freelancer or company on a daily basis. They lack a real customer / user support. Even with severe issues, that prevent you from using their service (at least temporary), you have to wait up to a few days until you receive an answer from their, at times, very unmotivated support team.

Brilliant time tracker. It's simple and effective, and their reports are super helpful for my business. The browser plugin isn't great, but the native Mac OS app is excellent, and super quick and easy to use. And it's just designed well.

Answers about pricing, setup, implementation, and more
Toggl Track is a time tracking and reporting platform that logs work across web, desktop, mobile, and browser extensions, then converts that data into custom financial reports. Agencies use it to track billable rates, estimate project profitability, and identify where team time is spent. It integrates with Jira, Salesforce, Asana, and 100+ other tools, and supports automated background tracking so team members don't manually log every task.
Toggl lists 8 plans; the paid ones run from $9 a user a month (Track Starter) to $18 a user a month (Track Premium). The typical margin on reselling Toggl is 55% of the fee, after the platform and labor at $75 an hour.
No verified white-label program exists. Client-facing surfaces display the Toggl brand, so you cannot present a fully branded portal to clients. This limits Toggl's appeal for agencies that want to resell under their own name.
Yes. Toggl has native integrations with both Jira and Salesforce, as well as Asana and Google Calendar. These are built-in connections, not Zapier-dependent, so setup is straightforward and data syncs reliably.
Initial workspace setup typically takes 15-30 minutes once the agency parent account is configured. Client onboarding (training team members on time entry and approvals) varies by team size and adoption readiness. Toggl offers personalized onboarding and a dedicated customer success manager on Enterprise plans.
Toggl is built for digital agencies, software development teams, law firms, and accounting firms. Any client that bills by the hour or tracks project profitability benefits from Toggl's billable-rate and financial-reporting features. It's less valuable for clients on fixed monthly retainers with no time-tracking requirement.
Toggl supports multiple workspaces under one organization, but volume discounts and advanced multi-tenant features are only available on Enterprise plans. You'll need to contact Toggl sales for custom pricing if you want to manage 10+ client accounts with consolidated reporting.
Toggl does not publish explicit data-retention or export policies in available documentation. Before signing clients to a retainer, confirm with Toggl sales whether time-entry data can be exported in bulk and how long it's retained after cancellation.
